15.5.2 Document distribution history

These actions are available on issues at all stages of their lifecycle, even after they have been completed.


15.5.1 Actions always available on an issue

Notification can be set on the issue from its Issue Sheet's View/Change menu or using    |   Notification   Notification settings may be altered even after the issue has been sent out as this does not fundamentally affect the issue itself. Similarly, the information page for the issue may be accessed at any time during the issue's lifecycle.

Issues cannot be copied but they may be cut or deleted in the usual way (see section 3.6 - Copying, moving and deleting documents) - either into other collections or folders.


15.5.2 Document distribution history

This is a page detailing all of the documents associated with the current issue and providing information about:

  • the documents themselves, including the document name, a link to it, the document version number if not the original document version, change comments set when revising the document to this version, the document size, its metadata type, its metadata values (if any have been set), its description, the name of the person who created it and its creation date
  • issue-related information including links to issues to which the documents in this were attached, the stage which the issue(s) have reached, metadata values, if any, associated with the issue(s), the issue description, the person who sent out the issue and the date when it was sent out (if appropriate)
  • distribution information, including the names of users to whom the documents have been distributed, including their company name and a matrix indicating which documents were on which issues (with links to their Issue Sheets) and when these were sent out.

The Document Distribution History page is available from the   View/Change  |   Distribution History   of Documents menu on the Issue Sheet. This action is available both before and after an issue is sent out - see section 15.4.1 - Sending out an issue.

The Document Distribution History is also available as an action on the Selected menu which acts on the documents whose checkboxes are ticked. A Document Distribution History for a single document is obtained by clicking    |   Distribution History  . The document must have been issued for this action to be available.

Note
In the Document Distribution History, the issues are allocated arbitrary numbers rather than displaying their full names in an effort to conserve space on the page. Numerous links are provided to the issues so that their full details can be obtained and the individual issues identified.
