15.6.1 Distribution history
The Distribution History of a document summarises the history of one or many documents. It indicates which issue(s) the document(s) were associated with and the stage that this issue has reached. Although links are provided to each issue, the content of the corresponding issue sheet is not displayed. The Distribution section of the page indicates the users to whom the document has been distributed, on which issue in when. Figure 15.5-1 shows that this table may become extremely complex if a large number of documents, issues and users is to be displayed.
To display the Document Distribution History page, click | Distribution History The distribution history of multiple documents is also available by selecting the documents and then clicking Selected | Distribution History , or from the View/Change | Distribution History of Documents on an issue sheet which has documents associated with it. The Document Distribution History page for an issue is described in section 15.5.2 - Document Distribution History.
The distribution history does not provide any information about the responses which users have provided regarding the document (except via the link to the issue sheet).
15.6.2 Issue history
The Issue History of a document differs from the Distribution History in a number of key ways:
-
the issue history is only available on a single document at a time, via the
| Issue History action
-
it displays all the issue sheets of all the issues with which the document has been associated and so
-
the Issue History displays all the responses provided by users about all the documents on the Issues Sheets associated with the current document
Clicking | Issue History for a document shows its Document Issue History page as illustrated in Figure 15.6-1.
Figure 15.6-1: Example of the Document Issue History page
This page is divided into 2 main sections. The first is a summary of information about the document, in the same format as on the Document Distribution History page - the document name as a link to its contents, the document version number if not the original document version, change comments set when revising the document to this version, the document size, its metadata type, its metadata values (if any have been set), is description, the name of the person who created it and its creation date. The second section contains a list of all the Issue Sheets (see section 15.2.4 - The Issue Sheet) of issues with which this document was associated.
Thus, for the Issue History, users' responses can be clearly seen in association with the document, unlike for the Distribution History.
