16.5 Standard actions on a Collection
Collections can be renamed and have their descriptions edited using | Rename and | Edit Description in the usual way. If a collection which was automatically generated to contain issues or reviews is renamed, a new collection called Issues will be created automatically the next time an issue or review is created in the current location.
The | More Info action displays the information page of a collection, containing reduced information from that of a folder - see section 3.8 - The information page. This is because of the huge number of events which such a page could contain. Instead, the information page for a collection contains a link to the Show History page containing the events. Notification can be set on a collection in the usual way - see section 12 - Event notification.
The metadata type of a collection, or its associated metadata, can be edited in the usual way. As far as metadata is concerned, a collection is a folder. Thus, a collection inside a workspace which uses a metadata schema (section 13.2.1 - Creating a metadata schema) may have
-
Metadata values associated with it
-
Default document types (see section 13.2.12 - Default types) defined on it so that any documents added to it take a particular metadata type by default
-
Privacy settings (see section 13.2.2 - Privacy) inherited from the workspace, set by its folder type or defined explicitly on it apply to a collection's contents as they would to the contents of a folder and so documents and issues in a collection may be private, indicated by
-
A validity policy (see section 13.2.3 - Validity Policy) which applies to it in just the same way as a folder so that objects with invalid metadata, indicated by
, may have a reduced set of actions which may be performed on them
Adding objects - documents, issues and reviews - to a collection is described in section 16.3 - Adding objects to a Collection.
As inside a folder, the metadata fields which are displayed can be changed using the View/Change | Expose Metadata action - see section 13.3.6 - Viewing metadata. If these fields are not explicitly set, the fields which are displayed are the same as those at the parent level.
-
Note
-
It is not possible to obtain the
| Contents of a Collection . This is because the number of objects which a collection holds may potentially be very large and the intention of a collection to make available only those objects which are needed at a specific time or for a specific purpose - as described in section 16.4 - Viewing and searching a Collection.
