17.8 Open distribution

An Open Distribution of a review permits any member of the folder containing the documents to respond to the review. The differences between a review with an Open Distribution and a specified set of reviewers are:

  • when starting a review (see section 17.2 - Starting a review) not selecting any names from the available list of users will cause the review to have an Open Distribution initially
  • when editing the details of an existing review (see section 17.3 - Modifying a review), ticking the checkbox marked "Select this box to make the review open to everyone." will give this review an Open Distribution
  • if a review has an Open Distribution, it is not possible to specify a set of reviewers at a later date
  • at the top of the review page, the text "No distribution set for this issue." Appears for an Open Distribution instead of the table listing the users to whom the review has been directed
  • for an Open Distribution, only the names of those users who have already responded to the review are listed in the Responses section at the bottom of the Review page. Those who have simply saved their comments will be listed but their comments will only be displayed after they submit them (see section 17.4 - Adding review comments).
  • for an Open Distribution, any member of the folder will see a task in their Tasks In column, not just those who have been specified as reviewers
  • for an Open Distribution, the person who created the review the Tasks Out column will always indicate that the review is for Completion
