19.3 Creating markups

A markup is any kind of annotation or comment which you add to an existing document. It may be in the form of text, a line or some kind of geometric shape. Alternatively, the markup could be a hyperlink to another document elsewhere on the Internet. The markup is not stored as part of the original document but as a separate file with its own MIME type, file extension (.mrk) and icon, Document: Brava Markup.

To create a markup for a document, click on   |  View and Markup   for the document.

If you do not have sufficient access rights to create or store markups, the action available to you will be   |  View with Brava  . If you have "read" access to the document (see section 4.6), you will be able to view the document using Brava! and view existing markups.

Clicking on Markup File brings up the markup menu - see Figure 19.3-1. One of the actions on this menu is the "New..." action which allows you to create a new markup file. Clicking on this action displays the Brava! markup toolbar beneath the standard Brava! toolbar. Detailed information on all Brava! functionality can be obtained by clicking on Help Contents... to view Brava!'s help.

A summary of the main functionality, accessible via the icons on the Brava! markup toolbar, is given here:

  • Select - selects individual markups, e.g. for further editing or deletion
  • Sketch - permits the drawing of freehand shapes, straight lines, jointed lines, arcs and arrows
  • Unfilled Rectangle - creates solid (filled or unfilled) shapes - rectangles, ellipses and polygons
  • Cloud - draws clouds or translucent shapes (rectangles, ellipses and polygons) to form highlights
  • Crossout - mark objects to be removed by crossing out or erasing (hiding) using rectangles, ellipses and polygons
  • Text - permits text entry
  • Changemark - assigns an easily located marker to a particular markup. (Use of Changemarks® is discussed in section 19.4.2.)

Once you have finished making your annotations, click on "Save As..." on the Markup File menu. This will allow you to save your changes to a new markup file of type Document: Brava Markup with a name of your choosing, located in the Markups folder for the document. Alternatively, if you do not wish to save your changes, click on "Close" on the Markup File menu.

The first time you save a markup file for a document in a Business Collaborator folder, a new folder called Markups will be created in the same folder as the document. Inside this, a subfolder called, by default, "Markup folder for documentname" will be added - of type Brava Markup - and this is where the markup file you created will be saved. To find out which folder currently contains markups for a particular document, or to change the folder where the document's markups are stored, click on   |  Change Markup Folder   for the document - see section 19.5.

Each time you create or modify a markup, a Redline event is registered on the original document and a Create or Change event on the markup file.
