3.4.1 Folders

Folders are used to group together related information. Folders may contain as many other folders as required. Folders are used to reduce the amount of information presented to users at any one time. To add a folder (as shown in Figure 3.4-1):

  • Click  Add  |  Folder 
  • Specify the folder name
  • Enter a description which will help other users to understand the purpose of the folder and the kind of information it contains
  • Finally, click on "Create folder" to confirm your changes to the Business Collaborator server.

3.4.2 Shared folders

A shared folder is one where the contents can be accessed by several people. In other words, it is a folder created in a shared area - a workspace with members - see section 4.2. As well as those people who can see the folder because of its location inside a workspace they belong to, additional users can be added as members at the folder level. Folders inside workspaces are considered to be shared folders even before members are added to the workspace.

Note
Users added as members at folder level will see the folder appear in their home page because they have not been invited to share the information higher up the hierarchy.

The group of people who are invited to share the information in a folder is the group of folder members. Section 4.2.2 explains how to add members to a folder. Folders for personal use only - to which other users cannot be invited are discussed in section 9.2.1. Personal folders can only be created in your home page or inside other personal folders.


3.4.3 Folder contents

A quick view of all of the contents of a folder may be obtained by clicking on   |  Contents    for the particular folder. This will display all of the objects - documents, folders, discussions etc. - inside the folder and its subfolders. The display is indented to indicate the location of objects within the hierarchy - as shown in Figure 3.4-2.
