3.6.1 Cut, copy and delete

If you want to move an object from one place in Business Collaborator to another, cut it from its original location and paste it into another. To make an identical copy of an object, you can choose to copy it - although it is recommended that you avoid having multiple copies of the same document as it will be difficult to remember to update every copy. (Use web links section 5.3 to make the document easily accessible from different locations.) To remove objects from Business Collaborator, delete them. Copy, cut and delete can be applied to all types of objects within Business Collaborator, not just documents - e.g. folders, databases, workspaces and discussions. (For details of the effect of deleting shared objects, see section 4.9.)

Cut, copy and delete are examples of actions which can be performed on several objects at once - see Figure 3.6-1. To select the objects to be acted upon, you should check the box beside the objects' names. Once the objects are selected, click on:

  •  Selected  |  Cut  ,  Selected  |  Copy  as required
  • Move to the location where the documents are to be replicated or relocated
  • Click  View/Change  |  Paste 

or

  •  Selected  |  Delete  the objects which you wish to remove from Business Collaborator

Copied and cut objects will be placed in your bag section 3.6.2 until  View/Change  |  Paste  (or  |  Paste  ) is used to place them elsewhere.

Deleted objects go into your waste bin (see section 3.6.3 ) until undeleted or destroyed.

Note 1
Copying a folder - see section 3.4.2 - means copying all the objects it contains recursively, including all folders, sub-folders and their contents. Instead of duplicating the entire hierarchy elsewhere, consider cutting it instead since this is likely to require much less storage space.

Use web links - see section 5.3 - to make folders easily accessible from different locations.

Selecting a workspace or shared folder to be deleted requires you to decide whether you wish to remove the workspace for all users or whether you simply wish to remove yourself as a member (see section 4.9).


3.6.2 Your bag

Your bag is personal to you - no-one else has access to it. Its basic function is the same as the clipboard you have on your computer since it acts as a temporary storage location for files which you are copying or moving within Business Collaborator. Your bag (shown in Figure 3.6-2), as one of your personal objects, is directly available from all folder view pages and your home page. Although its contents are presented in a very similar manner to folders, the location bar also contains the "Path" - a shortcut back to the folder structure from which you entered your bag.

When objects are cut or copied into your bag, the icon of the bag indicates that it has contents which are ready to be pasted into another location.

Your bag holds all objects that have been cut or copied to it and have not yet been cut or pasted into a new location or deleted to the waste bin. It "remembers" the (group of) objects that were added by the most recent copy or cut action as the current selection.

In the list of objects in the bag, the selected checkboxes indicate the current selection. By clicking the checkboxes, you can alter the current selection manually.

If you do not modify the current selection, all objects in it will be transferred to the folder where you next click  View/Change   |  Paste  .

If you change a selection manually, you will have to select  Selected  |  Cut  again in the bag before you can  View/Change  |  Paste  this selection into another location.

Note
Objects in your bag are accountable (see Section 9 - Workspace auditing) to the workspace where they were cut or copied from until they are deleted and destroyed.


3.6.3 Your waste bin

Your waste bin, as one of your personal objects, is directly available from all folder view pages and your home page. Access to it is restricted to you - it is not available to other users of the system. It provides controlled, undoable functionality to delete and subsequently destroy objects. Although its contents are presented in a very similar manner to folders, the location bar also contains the "Path" - a shortcut back to the folder structure from which you entered your waste bin. Also, as shown in Figure 3.6-3, certain actions are peculiar to the waste bin.

When objects are deleted into your waste bin, the bin icon indicates that it has contents which are ready to be destroyed.

 Selected  |  Undelete  in your bin returns selected objects to the locations from which they were deleted, i.e. moved to the waste bin -- if these locations are still available. To place the selected objects in a different location, cut and paste them to a location of your choice. (Alternatively,  |  Undelete  may be used to undelete a single object.)

Objects are completely removed from Business Collaborator (destroyed) in three steps. Business Collaborator allows you to undo the first two steps. The third step can be performed only by the owner of the object (typically the member who created it). Business Collaborator thus assigns a clear responsibility for actual destruction of an object. To destroy a shared object:

  1. Delete the object - see section 4.2. Result: Business Collaborator moves the object to your waste bin. The other members of the folder will no longer be able to see or access the object, but the you can easily "undelete" it from your waste bin.
  2. You then apply  Destroy  to the object. (This could be done by selecting several objects and clicking  Selected  |  Destroy  .) Result: This will remove the object from the Business Collaborator server only if you own it. Otherwise, the object will be transferred to its owner's waste bin.
  3. If the object was transferred to the owner's waste bin when you destroyed it, the owner may now "destroy" the object from his waste bin. The action of destroying something which you own cannot be undone - it is irreversible.
Note 1
Any object in your waste bin that lists your user name as its owner will be irreversibly lost if you destroy it. The object will be irreversibly lost from the system if you destroy it.

Special rules apply to deleting documents under version control (see section 3.7).

Objects in your waste bin are accountable (see section 3.6.3) to the workspace where they were deleted from until they are destroyed.
Note 4
The unique Business Collaborator IDs (see section 5.3.3) of any objects which are destroyed are recorded in the Event History of the folder it was contained in. This makes it much simpler to recover the document from backup.
