4.4 Your personal address book

4.4.1 Introduction

Your address book, like your waste bin or your bag, is one of your personal Business Collaborator objects. It is opened by clicking Address Book and the display is similar to that of workspace or folder membership pages see section 4.2.4. It contains the user names of the other users of your server with whom you have interacted actively, e.g. who you have added to a workspace or folder. It therefore provides a quick way of selecting a user to invite to a workspace or folder in future. The contents of your address book appear in several places where lists of users are displayed.

In any location where member icons appear - e.g. on membership pages of workspace or folders and in folder views - the icon will indicate if the individual or group is already in your address book.

- indicates this individual is in your address book

- indicates this group is not in your address book

- indicates this group is in your address book


4.4.2 Adding members

Your address book (as shown in Figure 4.4-1) is automatically populated by Business Collaborator and you will seldom need to intervene manually. However, if you wish to do so, you may add users, or groups of users (see section 4.2.5), to your address book in a number of ways:

  • in your address book, you may click on  Add  |   Member  and enter a user name or email address of a registered user of the server
  • on the membership page of a workspace or folder, you may select the users you wish to add your address book and then click  Selected  |  To AddrBook  to add these individuals to your address book
  • on the membership page of a workspace or folder, you may click  View/Change  |   To AddrBook to add this entire group to your address book as group called "Members of [folder name] "

If a group is already in your address book,  View/Change  |   To AddrBook  will not be available on the membership page. If all the members of the workspace or folder are already in your address book,  Selected  |   To AddrBook  will not be available on the membership page.

If a group called "Members of [folder name]" is displayed in a membership page, you will only be able to view the individual members' names if you are a member of the group. Otherwise, the group name will appear simply as text rather than a link.


4.4.3 Managing members

Selecting a user in your address book and then clicking  Selected  |  Remove  will remove this user from your address book. The members icon for this individual will therefore be different the next time you see it. No workspace or folder memberships will be affected.

Selecting the name of a group in your address book and then clicking  Selected  |  Remove  will remove this group from your address book. The icon for the group will therefore be different the next time you see it. No workspace or folder memberships will be affected.

Selecting a member of a group in your address book and then clicking  Selected  |  Remove  will remove this member from the group. In other words, this member can no longer view the objects which the group belongs to. Altering the membership of the group from your address book has exactly the same effect as going to the membership page for the group and removing a member (see section 4.2.6). The members icon for the group will be unaffected.
