4.7.1 Events
An important Business Collaborator function for supporting cooperative work is to inform all members of a shared folder that something has happened. Everything which takes place in a workspace or shared folder is recorded as an event. For example, every time a user reads a document, enters a folder, replaces a document, renames a workspace or performs any other action, an event is recorded. This provides an audit history for the lifetime of the document.
Recent events are indicated in the interface by icons beside the objects on which the events have taken place. In order to reduce the amount of such event information appearing on each Business Collaborator page, you can use "CatchUp" to indicate to Business Collaborator that you have taken note of a set of events. Select the objects for which you no longer wish the events to be displayed and click on Selected | Catch Up .
This updates the date at which recent is defined for you; Business Collaborator will no longer show these events to you. However, the complete history of events on these objects will still be available from the object’s information page - see section 3.8. (Alternatively, use View/Change | Catch Up to clear the event icons from every object in the current folder view.)
4.7.2 Event categories
The main event categories, with the icons which are used to represent them, are:
- New or Create -
shows that the object is new to you - you haven't seen it before (e.g. if you were just invited to a workspace). The "New event" icon will disappear after you read (click on) a document for the first time. (On folders, it will disappear once objects have been added to the folder or it has been edited in some way, e.g. renamed. Simply opening a folder is not sufficient to remove a folder's "New" status.)
- Changed -
indicates changes have occurred to the object -- for example, to the name, to the contents (if it is a document), the web link (URL) (if it is a link), the description of the object etc.
- Read -
the object has been read, downloaded or copied. Business Collaborator lists only one such event per user. (The date displayed for each user will be the first read event for that user since the object last changed.)
- Moved -
the object’s location has been changed.
- Events inside
- there are recent events in this folder. This icon is only displayed for folders; it provides a list of all events somewhere within the folder, including its sub folders and the objects contained in them - as shown in Figure 4.7-1.

4.7.3 Event reporting
Business Collaborator displays the events that have occurred in several ways.
- An overview of events in the folder are displayed in the folder view where each object name may be accompanied by a number of event icons indicating the types of events which have taken place. In addition to the generic event categories illustrated in section 4.5.2, additional, specific event icons may be displayed to reflect specialist types of events, e.g. documents which are under review may be indicated by
.
- Clicking on an event icon displays a list of the recent events of this category for the object.
- On the information page (see section 3.8) of an object, a list of all recent events on the object is shown, headed "Changes since [date time of last Catch up]"
- A complete history of all events on an object, is also stored. This history, is accessed by clicking View/Change | Show History on the info page of the object.
- You can also choose to be notified about the occurrence of specific types of events on particular objects whenever they happen using event notification (see Section 12 - Event notification).
- Workspace reports are sent daily and can be configured to send you information about the type of events in which you are interested in all your workspaces - see section 4.1.
